Communications Coordinator

College of Medicine

The Communications Coordinator will serve in a support function in the Office of Advancement for the College of Medicine in the areas of marketing and communications, alumni relations, and special events and projects.

This position is responsible for coordinating key communications functions for the College of Medicine at the University of Illinois Urbana-Champaign, working closely with the Director of Advancement to develop and execute processes and projects in support of the Communications and Marketing plan, the Office of Advancement, and the College of Medicine as a whole.

The Communications Coordinator must thrive in a fast-paced environment with limited supervision, and quickly comprehend and act on changing priorities when necessary. This position is the primary contact between the Dean?s Office and Office of Advancement and other programmatic areas, and must demonstrate superior written communication, customer service, and interpersonal communication skills.

Primary responsibilities include but are not limited to:
 

Communications

  • Act as writer and editor for marketing and communications vehicles, both on and offline.
  • Update College of Medicine general & program brochures, media kit, key messages, and fact sheets as needed.
  • Manage vendor bid process and quality service delivery including design, production and mailing services for newsletters, invitations, signage, displays, takeaways, posters, tickets and other collateral materials within budget and on time.
  • Coordinate copy and design with on-campus units such as the Combined Colleges Campaign and other campus-wide efforts.
  • Represent the College of Medicine at Urbana-Champaign and the Office of Advancement at the meetings of the Chief Communications Officers (CCO).

Alumni Relations

  • Manage, organize and create alumni-related events and activities, including out-of-town gatherings in collaboration with the Office of Advancement.
  • Serve as Secretary to the Alumni Association Board, helping to facilitate meetings, committee work, communication and other activities.
  • Help to manage and update the alumni database as well as the College of Medicine at Urbana-Champaign?s Facebook, Twitter, and other web-based presence.
  • Assist Director of Advancement with strategic plans for development as it relates to alumni.
  • Represent the College of Medicine at Urbana-Champaign and the Office of Advancement at the Campus Council on Alumni Relations (C-CAR).
Events/Corporate

Relations Communications and Marketing

  • \Work closely with the Dean?s Office, and the Offices of Advancement, Academic Affairs, Clinical Affairs, and Student Affairs to develop an ongoing communications and marketing plan for all College of Medicine events.

Logistical

Event Coordination

  • Coordinate photography for events, activities and for use in publications. Ensure appropriate releases are signed and filed.
  • Assist in the coordination of media events including television segments, and collaborations with the campus and the University.


Speakers Bureau

  • Develop format and process for scheduling College of Medicine representatives to speak at community events and service organizations, etc.
  • Offer superior customer service to speaker/representative requestors during the scheduling process
  • Create and maintain a speaker engagement calendar.
  • Regularly update supporting materials for representatives, including fact sheets, presentations and other collateral.

News Bureau

  • Act as writer, editor and reporter, collecting news through external and internal sources.
  • Coordinate unit?s efforts with the University?s News Bureau and other similar campus and University organizations.
  • Interview sources to obtain editorial material, including internal departments to obtain editorial material on programmatic and operational news.

Internal Responsibilities

  • Work with Director of Advancement to establish and publish timelines for communications projects and an editorial calendar.
  • Write, produce and edit marketing communications materials for internal departments as requested, including PowerPoint presentations.
  • Maintain style, logo and brand guidelines as established by the University.
  • Maintain graphics and photograph files.

QUALIFICATIONS:

Bachelor?s degree in Marketing, Communications, Public or Media Relations, Journalism or related area; public relations skills; superior writing and oral communication skills; strong editing skills; detail oriented.

Preferred:?Experience working under and meeting multiple task deadlines; events/fundraising experience; familiarity with UIUC policies and procedures.

This is a non-visiting, 12-month, full-time academic professional appointment with a proposed start date of January 16, 2013.?Salary will be commensurate with experience.
